VENDOR ELIGIBILITY
The Cycle of Humanity Inc. reserves the right to approve or deny any vendor application at its sole discretion. Preference will be given to vendors, nonprofits, service providers, and businesses whose products or services align with the mission and purpose of the event.
The sale or promotion of illegal products, tobacco products, vaping products, alcohol, firearms, weapons, gambling services, or any other inappropriate or unlawful items is strictly prohibited.
ASSIGNED SPACE
Each approved vendor will be assigned one designated vendor space.
The venue will provide:
One table
Two chairs
Access to designated garbage disposal receptacles
Vendors are responsible for:
Table coverings
Displays and signage
Extension cords, if permitted
Additional equipment or supplies
Set-up and breakdown of their booth
Vendor spaces may not be transferred, shared, or subleased without prior written approval from The Cycle of Humanity Inc.
SET-UP & BREAKDOWN
Vendors must arrive during designated setup times and be fully set up before the event begins.
Early departure without prior approval is discouraged and may affect participation in future events.
All vendors are responsible for removing their materials and leaving their assigned space in a clean condition.
COMPLIANCE WITH LAWS
Vendors agree to comply with all applicable federal, state, county, and local laws, regulations, licensing requirements, and health codes.
Food vendors are responsible for obtaining all permits and certifications required by local authorities
Healthcare professionals and licensed practitioners are responsible for maintaining all required licenses, certifications, and professional liability coverage.
LIABILITY & ASSUMPTION OF RISK
Vendor participates in the event at their own risk.
The Cycle of Humanity Inc., Steve Radack Community Center, Harris County, event sponsors, volunteers, officers, directors, employees, and agents shall not be liable for:
Personal injury
Property damage
Theft
Loss of income
Equipment damage
Weather-related incidents
Any claims arising from Vendor participation
Vendor assumes full responsibility for all risks associated with participation.
INDEMNIFICATION
Vendor agrees to indemnify, defend, and hold harmless The Cycle of Humanity Inc., Steve Radack Community Center, Harris County, and their respective officers, directors, employees, volunteers, and agents from and against any claims, damages, losses, liabilities, costs, or expenses, including reasonable attorney's fees, arising out of:
Vendor's negligence or misconduct
Products distributed
Services provided
Violation of laws or regulations
Injury or damage caused by Vendor, Vendor employees, or representatives.
INSURANCE
The Cycle of Humanity Inc. reserves the right to request proof of liability insurance from vendors, particularly:
Food vendors
Medical providers
Dental or vision providers
Barbers and stylists
Vendors providing physical or professional services
Vendors without required insurance may be denied participation.
CLEANLINESS & WASTE DISPOSAL
Garbage disposal receptacles will be provided by the venue.
Vendors are responsible for:
Keeping their area clean
Properly disposing of trash
Removing excessive waste, boxes, or equipment
Leaving the area free from debris
Failure to do so may affect future participation.
PHOTOGRAPHY & MEDIA RELEASE
Vendor grants The Cycle of Humanity Inc. permission to photograph, record, and use images, videos, logos, or likenesses captured during the event for:
Social media
Website content
Marketing materials
Grant reporting
Future event promotions
No compensation shall be owed for such use.
EVENT MODIFICATION OR CANCELLATION:
The Cycle of Humanity Inc. reserves the right to:
Modify event hours
Reassign vendor locations
Cancel or postpone the event
Remove vendors who violate event policies
In the event of cancellation due to weather, safety concerns, venue restrictions, emergencies, or circumstances beyond the organization's control, The Cycle of Humanity Inc. shall not be liable for any vendor expenses or losses.
CODE OF CONDUCT
All vendors are expected to conduct themselves professionally and respectfully.
The following are prohibited:
Harassment or discrimination
Aggressive sales tactics
Profanity or inappropriate conduct
Disruptive behavior
Unsafe activities
Unauthorized solicitation outside assigned areas
Violation of this policy may result in immediate removal from the event.
AGREEMENT
By signing below, Vendor acknowledges that they have read, understood, and agree to comply with these Terms and Conditions.
